1. IOP Society Reaffiliation Form

Welcome to the IOP Affiliated Society re-affiliation process. This form is for those re-joining the scheme: if you are joining the scheme for the first time, please close this form and complete registration at this link here: https://www.smartsurvey.co.uk/s/Affil-25-6/

For those re-affiliating: firstly, a huge thank you for all the work you’ve done this year through your society – societies are instrumental in creating a community for students on campus and engaging them in physics and we really value the work you do.

Here you will select which society tier you wish to apply for for the year ahead. To apply for a particular tier, you need to have completed certain criteria this year, so please make sure you evidence this in this form.

There are three tiers: Bronze, Silver and Gold, according to your aims, expectations and previous achievements as a Society. Complete your society registration and then select which tier you are eligible for and complete the form (providing evidence where required). Please refer to the IOP Student Community Affiliated Society Framework (see here) before you complete this form. It contains information on what the tiers are and the framework behind it, with examples and suggestions.

Where possible, please provide a description of the activity and if you have supplementary material such as images or links to the events held, please upload, although this is not compulsory. Please be honest and realistic in your self-assessments and use evidence where possible to support the areas you tick off.

Some top tips for filling out your re-affiliation form

Focus on the requirements for your tier

Be clear what tier of membership you're applying for, and focus your evidence on the requirements for that role. You can read up on the tiers of memberships and their requirements here.

Don’t reinvent the wheel
If you have already detailed a lot of your work in your Students’ Union’s annual report, then feel free to use chunks of that in your form to us.

Details!
Don’t just say you ran X event – let us know the details (briefly) of the event:
•   What was the purpose?
•   How many (roughly) attended?
•   How did it go? Did you achieve what you set out to?

Evidence (you should have provided your Society's Privacy Notice to attendees if you are sharing these)
•             Photos
•             Videos
•             Social media screenshots
•             Quotes from attendees

If you have any questions, or are in any doubt about your society status, or would like to discuss your affiliation with the IOP Student Engagement Officer please contact: studentcommunity@iop.org. Finally, if you cannot complete a section for whatever reason, please select a tier and click submit on the form - we will follow up with you separately.

This form will only be used for the purposes of administering society applications and grants and contacting committee members with future IOP and physics related opportunities. Please note, we have updated our eligibility criteria and guidance notes for societies on the scheme for 2025-6. This includes strengthening the eligibility for all statuses, to ensure societies achieving the tiers deliver physics and career development opportunities accessibly to the student community. This also includes some changes to what we ask societies to do with the IOP to promote physics and careers. Please confirm you have reviewed the changes.

2. Society Information

Each society needs to have two IOP reps on their society committee (typically president and vice president). IOP reps are expected to share relevant physics and career opportunities that the IOP organises to members of their society. These include key events, physics opportunities, and professional development activities. They also liaise with the IOP in requesting any support the society requires.

Both reps must be IOP members for the academic year 2025-6 (or have signed up to an annual membership from at least the date of completing this form). If any of your IOP reps will change for next academic year please provide the details of the new expected IOP reps below. Please note, if you are expecting the future representatives to change, they will need to become members or the society affiliation will lapse.  *
